Position Statement for Executive Assistant
Scope of Position
The Executive Assistant position provides high level, confidential administrative support to the Academy for the Chief Executive Officer. Duties include but are not limited to clerical, administrative, and organizational support for ongoing functions of the office as well as project-based work. The ideal candidate would be proficient in the use of Microsoft Word, Excel, PowerPoint, and Outlook.
The American Hebrew Academy is the only international Jewish college preparatory boarding school for grades 9-12 in the world. Located in Greensboro, North Carolina, on a 100-acre wooded campus, the Academy offers our academically motivated students, who come from 31 states and 38 countries, the opportunity to receive a rigorous college preparatory education while exploring and strengthening their Jewish identity. Approximately ninety percent of our students live on campus, while the other ten percent are day students.
Position within the Organization
This is a full time twelve-month position reporting to the CEO.
• Manage CEO correspondence and screen CEO telephone calls
• Schedule and coordinate meetings and conference calls
• Maintain calendar of on/off campus meetings
• Manage domestic and international travel logistics
• Maintain follow-up file system
• Manage logistics of Semester in Israel program
• Answer main telephone system as backup for Receptionist
• Research, price and order office supplies for all departments and oversee orders for printed and promotional materials
• Take notes for Executive meetings and transcribe
• Manage correspondence and prepare materials for Board of Trustees
• Maintain and update Academy handbooks and Admissions documents
• Interact with parents, donors, board members, students, alumni and others on behalf of CEO
o At least five years’ experience supporting executives at the highest level in an organization.
o Very strong organizational skills.
o Professional decorum and ability to manage affairs of those whom they serve through efficiency, organization, and initiative.
o Ability to take direction as well as foresee issues and act accordingly in order to support others.
o The ability to communicate effectively by carefully listening to and responding appropriately.
o Strong oral and written communication skills.
o Ability to manage multiple tasks simultaneously as necessary.
o Expert knowledge of all Windows word processing functions.
o Must be self-starter and able to juggle multiple projects simultaneously.
o Patience and good sense of humor will make for a more successful experience.
• Preferred Experience
o Bachelor’s degree
o Ability to speak additional languages
The individual in this position will be privy to highly confidential information and as such, requires diplomacy, professionalism, courtesy, and discretion. This position can be stressful and demanding when time sensitive deadlines at critical periods during the school year are necessary.
